EventEase Privacy Policy

This Privacy Policy explains how EventEase, LLC (“EventEase,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you access or use the EventEase website, platform, and related services (collectively, the “Services”). By using the Services, you consent to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide

You may provide information directly to us, including:

• Account information (name, email address, organization name)
• Event details and content
• Contact information for Event Organizers
• Communications with EventEase support
• Tax-related identifiers (such as EINs) provided by Event Organizers for receipt and reporting purposes

1.2 Transaction-Related Information

Depending on how payments are configured, we may collect or receive limited transaction-related information, including:

• Transaction amounts
• Dates and descriptions
• Event and organizer identifiers
• Receipt and confirmation details

EventEase does not store full credit card numbers, bank account numbers, or sensitive payment credentials. Sensitive payment information is processed directly by third-party payment processors.

1.3 Information from Third Parties

We may receive information from third-party services, including:

• Payment processors (such as Stripe, Payabli, or similar providers)
• Email and communication providers
• Hosting, analytics, and infrastructure providers
• AI model providers (such as OpenAI) that power the EVE assistant, as described in Section 4
• Affiliated platforms, including Clubhouse

This information is used solely to operate, support, and improve the Services.

1.4 Automatically Collected Information

When you access the Services, we may automatically collect:

• IP address
• Device and browser information
• Usage data (pages viewed, actions taken)
• Cookies and similar technologies

2. How We Use Information

We use information to:

• Provide, operate, and maintain the Services
• Create, manage, and support events
• Facilitate and record transactions
• Generate receipts and transaction records
• Communicate with users regarding events, accounts, and support requests
• Improve platform functionality and performance
• Comply with legal, regulatory, and contractual obligations
• Prevent fraud and enforce our Terms of Service

3. Payment Processing and Financial Information

EventEase integrates with third-party payment processors to facilitate transactions.

• Payment processing is performed by the applicable payment processor under its own terms and privacy policies.
• EventEase does not store or process sensitive payment credentials.
• EventEase may receive transaction summaries, reporting data, and settlement information necessary for platform functionality, reconciliation, and support.

In limited legacy scenarios, EventEase may offer managed payment services only pursuant to a separate, written Managed Payments Addendum. Such arrangements are governed by their own contractual terms and do not alter EventEase’s standard non-custodial platform model.

4. EVE, the EventEase AI Assistant

EventEase includes an AI assistant called EVE that signed-in Event Organizers can use to ask questions about their account and events and to make certain changes. EVE is powered by a third-party AI model provider, currently OpenAI.

When you use EVE:

• Your messages, and the account and event information EVE looks up to answer them (such as event details, product names and prices, order and participant summaries, and account balances), are sent to the AI model provider to generate the response.
• So that EVE can remember the earlier part of a conversation, each response is stored by the AI model provider and referenced by the next message in that conversation. The provider retains stored responses for up to 30 days, after which they are deleted. The provider also keeps abuse-monitoring logs for up to 30 days under its own policies.
• Under the provider’s API terms, information sent through the API is not used to train or improve its models.
• EventEase keeps a copy of EVE conversations in your account so you and EventEase support can review them, and records which account, event, and user each conversation belongs to.
• EVE does not change anything in your account without your confirmation. Changes EVE proposes are shown to you first, and the change, who confirmed it, and when are recorded.
• EVE does not see or send full payment card numbers, bank account numbers, or passwords. EventEase does not store these.

Information shared with the AI model provider is limited to what is needed to answer your request. The provider is a service provider to EventEase and may use the information only to provide the service. If you prefer not to share information this way, do not use EVE; the rest of the Services do not depend on it.

5. Data Sharing with Affiliates and Platform Partners

EventEase may share limited information with affiliated platforms, including Clubhouse, and with trusted service providers, vendors, or partners (“Platform Partners”) solely for the purpose of operating events, fulfilling services requested by Event Organizers, and providing platform functionality.

Such sharing may include information necessary to:

• Create, manage, or support events
• Process transactions or reconcile records
• Deliver event-related products or services
• Provide customer support, reporting, or analytics

Platform Partners are authorized to use shared information only to perform services on behalf of EventEase and the applicable Event Organizer and are contractually restricted from using such information for independent marketing or solicitation purposes. EventEase does not permit Platform Partners to sell personal information.

6. How We Share Information

We may share information:

• With service providers that support the Services (payment processing, hosting, email, analytics, and the AI model provider behind EVE)
• With affiliates, including Clubhouse, to support platform functionality
• With Platform Partners solely to fulfill event-related services requested by Event Organizers
• With Event Organizers as necessary to administer events and transactions
• To comply with legal obligations or enforce agreements
• In connection with a corporate transaction such as a merger, acquisition, or asset sale

We do not sell personal information.

7. Data Retention

We retain information for as long as necessary to:

• Provide the Services
• Maintain accurate records
• Comply with legal and regulatory requirements
• Resolve disputes and enforce agreements

Retention periods vary depending on the nature of the information and applicable obligations.

8. Cookies and Tracking Technologies

EventEase uses cookies and similar technologies to:

• Enable core platform functionality
• Analyze usage and performance
• Improve user experience

You may control cookies through browser settings. Disabling cookies may limit certain features.

9. Data Security

EventEase implements reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, or misuse. However, no system can be guaranteed to be 100% secure.

10. Children’s Privacy

The Services are not directed to children under 13 years of age, and EventEase does not knowingly collect personal information from children.

11. Your Choices and Rights

You may:

• Update or correct account information
• Request access to or deletion of certain personal information, subject to legal and operational requirements
• Opt out of non-essential communications
